Ask for documents that answer a specific question
- What should supplier qualification include?
- What belongs in a batch release packet?
- Which documents are formula-specific?
| Company & site | Responsible entity, actual manufacturing location and supplier qualification documents |
|---|---|
| Quality-system evidence | Current certificates, scope, issuer, dates and relevance to the manufacturing site |
| Raw-material package | Identity, specification, supplier COA and additional documentation as relevant |
| Product specification | Approved formula, active targets, film properties, pack count, methods and acceptance criteria |
| Batch release | Agreed batch COA, lot traceability, release status and supporting records |
| Stability & packaging | Protocol, timepoints, final pack configuration and documented conclusions |
| Safety data sheet | Where appropriate to the material and jurisdiction; it is not proof of consumer efficacy |
| Market support | Available ingredient, labeling and export documents; external fees agreed with the customer |
A useful checklist records each document’s issuer, date, scope, version, manufacturing site, product or material identity, review status and any missing pages. Match the document to the actual formula and lot. A generic certificate image is not sufficient to establish that a specific batch meets a finished specification.
Sample documentation structure
For planning, a batch-document index can contain: product identity, formula/specification revision, manufacturing site, batch number, manufacturing and retest or expiry dates where established, test method references, results, acceptance limits, authorized release and supporting attachments. This is a checklist, not a fabricated test report.
